We are looking for an enthusiastic Office Manager/Administrator that will be the beating heart of our business, coordinating day-to-day operations, as well as moving the business forward!

Unblock NZ is a service provider to the stormwater and wastewater industry specialising in CCTV, flushing, and unblocking activities. Unblock NZ is a small business but is developing a fantastic reputation for delivering on promises and quality service, and is burgeoning as a result. http://www.unblock.nz.

The business has a very close relationship and shares the same offices with Enviro Water which provides a complementary suite of services in the same industry, an arrangement which permits the sharing of resources to deliver on client’s ever-varying demands. This also means that the role interacts with and is supported by a bigger team. This inclusive and supportive office environment in turn presents significant opportunity for expansion and growth for the right candidate.

We promise that the learning curve will be steep - a background in construction or technical services will prove advantageous, however, we also promise to provide all the requisite training to the right candidate on an as-you-go basis to ensure success.

Key tasks include:

Co-ordinating day-to-day operations of the business.
Bookkeeping, credit control, and payroll functions.
Production of technical reports including asbuilt drawings and the like.
Scheduling and programming work for operators and small teams.
Reception, interfacing directly with clients, and triage of requests.
Collate and coordinate documentation for projects.
Reporting on technical issues identified by operators.
Manage and maintain servicing databases, and routine reporting.
Working on special projects to advance the business.
Developing and implementing new systems.
Providing all manner of support to management.

Skills Required:

Positive and can-do attitude is a must.
Dynamic with the ability to adapt, learn, and grow.
Exceptional verbal and written communications skills.
Commitment to excellence and an interest in both the success and progression of the business.
Attention to detail, diligence, time management, and ability to prioritise.
Proficient with Microsoft Word, Excel, and Outlook and keenness to learn specialist software packages currently employed.
Ability to problem-solve and work it out on your own, or with others as the case requires.

By way of example, a day in week five could look something like the following:

Take phone calls from prospective clients wanting work, assessing the urgency and nature of that work on the spot.
Co-ordinating such that our operators attend two of the above jobs that same day.
Programme the attendance of the other three jobs the following week and dispatch the work orders in our scheduling software.
Comment on and provide CCTV video footage for one of the above jobs so performed.
Explain with supporting information to one of the above clients that a blockage exists at 12m up the line and co-ordinate the mobilisation of our hydro-jetting equipment to clear.
Create an asbuilt drawing from information established on site by our operator together with photos and send to client.
Process and send invoices for the work outlined above on completion.
Enter, receipt, and reconcile bills into Xero.
Resolve materials discrepancies on a bill, phone the supplier and arrange credit note.
Write a brief but technical letter to one of our clients and have this signed by one of our Engineers.
Update our training register and book a safety training course.
Create a payment claim using job sheets, timesheets, and other records. Further clarify with which materials are to be included in a claim on that job.
Identify key clients where we can become an approved or preferred service provider and then get Unblock NZ on that list.
Review a contract and establish which elements constitutes variation work which require claiming separately, and then compile a claim for that variation work based on actual events that have occurred.
Develop HSEQ documentation for a prequalification submission.
Compile timesheets and process payroll.
