Our team is expanding, and due to continued growth we are seeking a full time Personal Assistant / Clinical Administrator for an immediate start to join our innovative and social team based in our New Plymouth head office / clinic.

As the successful candidate, you will provide proactive high-level professional assistance and support to both the company’s Clinic Manager and Clinical Team Manager along with general administrative assistance to our team of over 30 occupational health clinicians. Your responsibilities will contribute to the smooth execution of the the day-to-day activities of both our onsite and offsite clinical services. You will be comfortable with juggling multiple tasks, and thrive under pressure in an ever changing environment.

In this busy and often fast paced role you will be required to:

Be responsible for the diaries of the Clinic and Clinical Team Managers, proactively preparing for meetings and deadlines, highlighting priorities, conflicts or potential issues
Assist the Clinical Managers in people and equipment logistics, including rostering for projects
Be responsible for the administrative and logistic oversight as both the internal and external key focal point for complex clinical contracts
Draft and/or proof slides, meeting notes, documents, spreadsheets and reports
Provide general administration support to the clinical team
During peak projects, provide administrative support and assistance to the wider team where requested by the Clinical Management Team

Essential experience, skills, and qualities:

Previous experience as a personal/executive assistant and/or in clinical administration preferred
Advanced computer and information technology skills, including proficiency in Microsoft Office suite
Exceptional verbal and written communication skills, including excellent oral and written English
Excellent organisational skills with an ability to manage and proactively prioritise workload
Ability to work independently and oversee self-directed projects, often under pressure to meet deadlines
Fast and accurate working style, with an eye for detail
Excellent anticipatory skills with the ability to proactively forward plan around many and varied projects and deadlines
A high level of discretion, always maintaining confidentiality
A glass half full, solution focused attitude
Someone who will represent the values of our business through their integrity, discretion, and professionalism
A clean Full drivers’ license

Due to the nature of this role, and in accordance with the COVID-19 Public Health Response (Vaccinations) Order 2021, you must have already received your second vaccination and will also be required to have your booster dose within 6 months (183 days) from your second dose. You will also be subject to Police Vetting and you must be able to pass a drug test.
